Office move in Barcelona: practical planning checklist

How to plan an office move in Barcelona: inventory, building access, IT equipment, paperwork and workstation setup.

CAMIONITO — transport and moving services

An office relocation in Barcelona starts with an inventory, not a van booking. Moving furniture is only one part of the work: entrances must be accessible, equipment must be protected and the new workplace needs to be ready. This checklist is for a small or medium office planning a practical move.

Inventory everything that is moving

Count desks, chairs, cabinets, monitors, printers, network equipment and archive boxes. Record large dimensions and whether furniture requires disassembly. Note what will be recycled or left behind rather than moved.

For each item, specify the room it leaves and the room or workstation it should reach. Identify equipment that must remain operational until the final day.

Check access at both addresses

Inspect doorways, lifts, stair turns, corridors and the distance from the nearest permitted loading point. Ask the building manager whether you need to book the service lift, protect shared spaces or comply with restricted delivery times.

Do not assume a vehicle can stop directly outside the entrance. Loading conditions and any permits for occupying public space depend on the street and the intended operation. A furniture lift is not appropriate for every façade or access point.

Organise the move in stages

Separate inventory, packing, disconnection, loading, transport, installation and testing. Appoint one coordinator who can confirm access, communicate with suppliers and make decisions when circumstances change.

  • Before moving day: inventory, room plan and agreed time windows.
  • Packing: protect furniture, back up data and label every workstation.
  • Transport: track boxes and send them to their assigned destinations.
  • At the new office: connect essential workstations and check services.

If the business cannot pause entirely, keep critical positions running until they can be moved and installed first. An office move does not end when the van is empty.

Protect IT equipment and sensitive paperwork

The person responsible for IT should oversee backups, shutdowns and reconnection. Label cables, power supplies and monitors together, and photograph connections before disassembly. Avoid mixing accessories from different workstations.

Confidential files need separate handling: sealed boxes, a content register and an assigned recipient. A moving company can transport physical items but cannot take over the organisation's information-security responsibilities.

Compare quotes on the same basis

Provide both addresses, floor levels, approximate volume, difficult items, access conditions and intended moving hours. Ask which services are included and which require an additional charge. A pre-packed office with easy lift access will not require the same handling as one with narrow stairs and heavy furniture.

If your access is particularly difficult, read our guide to moving without a lift in Barcelona.

Final checklist

  • Inventory and destination layout agreed.
  • Loading locations, building rules and lifts checked.
  • Workstations labelled and backups completed.
  • Confidential papers accounted for.
  • Transport and any extra assistance clearly scoped.
  • Someone appointed to receive and verify the delivery.

Send this information to CAMIONITO when requesting moving or transport assistance. A clear description makes planning and comparing options considerably easier.
